Every figure on this page is computed from the inputs you enter, by the method stated below it. The statutory figures the page names are read from GOV.UK and sourced: 5.6 weeks' paid holiday a year for almost all workers, statutory entitlement limited to 28 days, bank holidays allowed to count inside it, and notice of at least twice the leave requested plus one day. Everything else is yours.

An annual leave tracker is the spreadsheet with a column per person and a row per week, and it works until the day it does not: a formula overwritten, a request approved in a text message and never entered, a balance that says 3 when the employee says 5. What a tracker has to do is small and exact: hold each person's entitlement worked out from their days a week, show what has accrued so far in the leave year, take every approved request off it, and warn before the year ends. This guide is about what that tracker has to carry, and the free annual leave calculator on this site works out the entitlement it starts from with no account.

A row per person starts from the entitlement, not a typed number

The tracker's first column is the entitlement, and it should be worked out from the person's days a week and the weeks of leave the contract gives, with the UK statutory 5.6 weeks as the floor, rather than typed from memory. A part-timer typed as 28 days is the most common tracker error and the most expensive one.

Every request is a line, with a status

A request that was approved by text and never entered is the reason the balance is wrong. The tracker takes each request as its own line with its days and its status, requested, approved, taken or declined, and only approved and taken leave comes off the balance.

The balance is the answer, and the year end is the deadline

The entitlement less the approved and taken days is the balance, and it is the one figure the employee asks for. The paid plan keeps it per person, reminds the team before the leave year closes, and exports the whole chart when the accountant asks.

Annual leave tracker: common questions

What should a leave tracker include?

Each employee's days a week and entitlement, the leave year dates, every request with its days and status, the balance, and a note of any carry-over the policy allows. The calculator on this site works out the entitlement; the paid plan keeps the rest against the employee.

Is there a free annual leave tracker?

The annual leave calculator and the holiday leave calculator on this site are free and need no account: days a week, weeks of leave, months and days taken in, the entitlement, the accrual and the balance out. WallChartBook Pro adds the tracker itself, every request against the employee with the balance updating as leave is taken.

Should a leave tracker count in days or hours?

Days where everyone works the same length of day; hours where part-timers work different days each week, because 5.6 weeks of a 20-hour week is 112 hours and a days figure hides it. The calculator works in days a week; enter hours a week and read the answer as hours if your team needs it.

On the worked example, an employee on three days a week with the statutory 5.6 weeks has 16.8 days for a full year and 12.6 for nine months, and after four days taken the tracker shows 8.6 days to take, the figure the employee asks for.
