Every figure on this page is computed from the inputs you enter, by the method stated below it. The statutory figures the page names are read from GOV.UK and sourced: 5.6 weeks' paid holiday a year for almost all workers, statutory entitlement limited to 28 days, bank holidays allowed to count inside it, and notice of at least twice the leave requested plus one day. Everything else is yours.

A leave management system is bought by the person who used to keep the wall chart, on the day the wall chart stopped fitting: a starter in March with a pro-rata entitlement, a part-timer on three days, two people booking the same week, and a leave year ending with days nobody took. The suites answer with an HR department's module priced per user; the small employer needs the entitlement worked out right, every request against the person, the balance that updates itself, and a reminder before the year closes. This guide is about what that system has to do, and the free annual leave calculator on this site does the arithmetic with no account.

The entitlement first, and the statutory floor named

Almost all workers in the UK are legally entitled to 5.6 weeks' paid holiday a year, and statutory entitlement is limited to 28 days (GOV.UK). A system that asks for a number of days per person has skipped the arithmetic that produces it; the tools on this site start from days a week and weeks of leave, so a part-timer's entitlement is right by construction and the contract can give more.

Pro rata for the months, then every request against the person

A starter or a leaver gets the year's entitlement for the months they are employed, and the calculator shows the pro-rata figure beside the full year so the employee sees both. Then each request files against the employee and the leave year, because the question in November is what was approved in June.

The balance updates itself, and the year end is announced

Days taken come off the pro-rata entitlement and the balance is the figure the employee asks for. The paid plan keeps it per person, emails a reminder before the leave year closes, and exports the wall chart when payroll or the accountant asks.

Leave management system: common questions

What should a leave management system include for a small employer?

The entitlement worked out from days a week and weeks of leave with the statutory floor named, pro rata for starters and leavers, every request filed against the employee, a balance that updates as leave is taken, a reminder before the leave year closes, and export. Onboarding, appraisals and shift rotas are for a different buyer.

Is there a free leave management system?

The tools on this site are free and need no account: the annual leave calculator, the holiday leave calculator and the policy template each work out the leave on the page and print as they stand. WallChartBook Pro is the wall chart itself, employees and requests kept against each other with the balance and the reminders.

How much does leave management software cost?

The suites charge per user per month: Timetastic Business is $1.50 per user per month, Pro is $2.50 and Rota and Time Clock is $5.50. WallChartBook Pro is $1.50 per month for the whole team, flat, because the team is the thing the wall chart is for.
